Constitution

We are pleased to present the Constitution for the Windsor Local History Group. Please do not hesitate to contact us should you have any questions.

  1. The Group shall be called Windsor Local History Group (WLHG).
  2. The Group is established:
    1. to promote and foster the study and recording of local history.
    2. to publish the results of such research.
    3. to stimulate interest in the history of the area by original research and fieldwork, by visits to places of interest, by the holding of meetings, by publication and by open days and other means.
    4. to provide advice and information regarding local historical issues.
    5. In addition, it shall:
    6. affiliate to any other body having relevant purpose;
    7. seek financial help from public bodies and other sources, and by way of subscriptions from Members, as seems necessary.
  3. Membership of the Group:
    1. Members shall be required to pay such subscriptions as may be decided at the AGM, and payable at the AGM.
    2. New Members: Any candidate for membership shall be considered by the group and accepted if they have satisfied themselves that such a candidate is willing and able to take an active part in the group.
    3. Associate Membership may be granted to those unable to participate at the monthly meetings.
    4. Observers may attend meetings on an ad hoc basis.
  4. Committee:
    1. shall be responsible for the management and administration of the Group.
    2. shall consist of elected Officers elected annually:
      1. Chairman,
      2. Vice-Chairman,
      3. Honorary Secretary,
      4. Honorary Treasurer,
      5. Editor
      6. Webmaster
    3. The Group may appoint a President and Vice-Presidents
    4. Other positions may include Events Coordinator, and Stock Keeper. These positions are not part of the executive committee.
    5. They will highlight any conflict of interest at the earliest opportunity and step back as required.
    6. All meetings will be recorded by the Secretary, and minutes circulated.
    7. Should the Committee decide to dissolve the Group, all monies and information will be donated in the appropriate legal manner, to suitable organisation(s) agreed by the committee.
    8. No committee member will:
      1. receive any benefit in money or kind from the Group except in the form of approved expenses or honorarium.
      2. have a financial interest in the supply of goods or services to the Group.
  5. Annual General Meeting (AGM):
    1. There shall be a general meeting annually preferably in March, to appoint officers.
    2. A proposer and seconder for officers will be required in each case. Voting shall be by show of hands.
    3. Due notices of all meetings shall be given to the Secretary.
    4. Reports from the Chairman and Treasurer shall be presented.
  6. Finances:
    1. The treasurer will be responsible for bank accounts.
    2. Expenses: The spending of sums up to £100.00 may be authorised by any two Officers. The sum may be varied at any Executive Committee meeting. The spending of large sums must be approved by the Group.
    3. Any monies accruing shall be used to finance:
      1. publications by the Group.
      2. research; or approved expenses in obtaining or gaining access to research material.
      3. approved administrative expenses.
      4. the repayment of loans if the lender so desires and has given notice.
      5. educational material.
      6. promotional materials.
      7. a website and social media activities.
      8. fairs, exhibitions, seminars, and open days.</li?
  7. Amendment of Constitution:
  8. The constitution was amended at the AGM in March 1998, 2003, 2006, in July 2015, and May 2024.
